WorkShield.ai ("the Service") is operated by Aether Practice Solutions Inc. We are committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data.

The short version:We collect the minimum information needed to generate your letter, we don't store your medical information after generation, we don't sell or share your personal data, and because there are no accounts, there is no stored personal data to manage.

2. Information We Collect

Triage Questionnaire Responses

When you use the Service, you provide information about your condition category, functional limitations, requested accommodations, employment situation, and state. This information is used solely to generate your accommodation letter.

Triage data is temporarily passed to our AI system for letter generation and is not stored in any database after your letter is delivered. We do not maintain records of your medical information, diagnosis, or condition details.

Payment Information

All payment processing is handled by Stripe. We do not receive, process, or store your credit card number, bank account information, or other financial details. Stripe's handling of your payment information is governed by Stripe's Privacy Policy.

Stripe provides us with a transaction confirmation (session ID and payment status) which we use to verify payment before generating your letter. Triage data is stored temporarily in Stripe's checkout session metadata for the duration of the transaction.

Analytics Data

We use Google Analytics to collect anonymous, aggregated site usage data such as page views, traffic sources, and general user behavior patterns. This data does not include any medical information or personally identifiable information. Google Analytics uses cookies; you can opt out using Google's opt-out browser add-on.

We also use Microsoft Clarity for anonymous heatmap and session replay analytics to improve the user experience. Clarity does not collect personally identifiable information.

3. How We Use Your Information

  • Letter generation: Your triage responses are used to generate your personalized accommodation letter. This is the sole purpose for which we collect this information.
  • Payment verification: Transaction data from Stripe is used to confirm payment before delivering your letter.
  • Service improvement: Anonymous analytics data helps us understand how the Service is used and improve the user experience.

4. What We Do NOT Do

  • We do not sell your personal data to third parties.
  • We do not share your medical or triage information with anyone.
  • We do not store your medical information in any database after letter generation.
  • We do not create user accounts, which means there is no stored profile or personal data to manage, export, or delete.
  • We do not use your triage data to train AI models or for any purpose other than generating your specific letter.
  • We do not send marketing emails, as we do not collect email addresses.

5. Data Retention

Because the Service does not use a database or user accounts, data retention is minimal:

  • Triage responses: Temporarily stored in Stripe checkout session metadata during the transaction. Not retained after letter delivery.
  • Generated letters: Not stored by WorkShield.ai. Your letter exists only in your browser session and any PDF you download.
  • Payment records: Stripe retains transaction records per their data retention policies.
  • Analytics: Google Analytics and Microsoft Clarity retain anonymous data per their respective policies.
